There are several ways to import documents into STP Documents:
Documents are imported into STP Documents.
Documents are dragged and dropped from the Windows file system into the "DMS Import" window.
Documents are imported using the import function in STP Documents.
This chapter describes these import functions of STP Documents.
Other import options include:
Emails and attachments can be imported via the Outlook Link.
Office documents can be imported via the Office Link.
Import via external interface.
These import options are covered in separate chapters.
Document Collector
The Document Collector is a Windows service on the server. It automatically imports documents from a specified directory structure into STP Documents at defined intervals based on rules.
The documents are
placed in the inbox if tasks are assigned to them.
directly assigned to files or folders and provided with document data.
Import
You can import documents by dragging and dropping them from the Windows file system directly into the "LEXolution.DMS Import" window. Emails from Outlook can also be imported this way. You can open the "LEXolution.DMS Import" window from the main menu "View" > "LEXolution.DMS Import".
Import Documents (Main Menu)
You can import documents via the main menu. Click on "Documents" > "Import" in the main menu and follow the instructions in the Import Documents section of this chapter.
Import Files via Drag-and-Drop
Open Windows Explorer and navigate to the directory with the files you want to import.
Open the "[LEXolution.DMS Import]" window in STP Documents.
Select all the files you want to import in Windows Explorer and hold down the mouse button.
Keep holding the mouse button and move the cursor into the "LEXolution.DMS Import" window.
Click the Start Indexing button to open the "Edit Document Data" window. Click the Finish button to complete the import without indexing the documents.
Repeat the previous steps if you want to import more documents.
If the Start Indexing in the "Import Files" window checkbox is not checked, the documents will be imported without file or folder assignment and only with part of the document data. You should capture the remaining metadata as soon as possible.
In a remote desktop session, drag-and-drop import cannot be used. Microsoft does not support drag-and-drop from the local computer to these remote system environments.
You must run all applications (including Windows Explorer) from which you want to copy objects via drag-and-drop in the remote desktop as well.
Import an Email via Drag-and-Drop
Open Microsoft Outlook and navigate to the folder with the emails you want to import (e.g., Inbox).
Open the "LEXolution.DMS Import" window in STP Documents.
Select all the emails you want to import in Outlook and hold down the mouse button.
Keep holding the mouse button and move the cursor into the "LEXolution.DMS Import" window.

Release the mouse button.
If the email has already been imported into STP Documents, you will receive a notification in the "Import Email" window.
For multiple selections, you will receive the following notification in the "Import Multiple Emails" window: "Conflicts with already imported emails".
Click the Import button to import the email and attached documents again as new documents.
Click the Cancel button to not import the email again.
Select only one email at a time and import only the new documents into STP Documents.
Check the Attachments Import Separately checkbox to import the email and all email attachments as individual documents. Uncheck the checkbox to import the email and all related attachments as one MSG file.
Click the Import button.
Click the Start Indexing button to open the "Edit Document Data" window. Click the Finish button to complete the import without indexing the documents.
Repeat all steps up to this point if you want to import more emails.

The "Import Documents" Window
The "Import Documents" window is accessed in the standard DESK via the menu "Documents" > "Import ..".
Alternatively, press the [F11] key.
Section "Documents to Import"
Click the Add File(s) button. This opens Windows Explorer. Select the documents you want to import.
The files selected for import will then be displayed in the field below.
(To not import selected documents, select them in the "Documents to Import" section and click the Remove button.)
Section "After Successful Import"
Delete documents from the original directory
"enabled": The selected documents will be deleted from Windows Explorer after import.
Include in "My Imports"
"enabled": The documents will be displayed:
in the My Imports folder on the standard DESK desktop.
in the roll container of the Commander under My Imports of the DMS Pro Client.
Section "Summary"
No settings need to be made here. This section shows the number of documents you have selected for import. Below that, STP Documents indicates the data volume of the selected documents.
Finally, click the Import button to complete the import. (If you decide not to proceed with the import, click the Cancel button.)
The "Import Files" window will open.
Click the Start Indexing button to open the "[Edit Document Data]" window. Click the Finish button to complete the import without indexing the documents. Repeat the previous steps if you want to import more documents.
Notes

In the "Import Documents" window, in the "After Successful Import" section, check the box Delete documents from the original directory if you want to delete the files from the original directory.
If you uncheck the box, copies of the documents will be created and stored in the database during import. Copies will be imported, and the originals will remain in their original location.
If the Start Indexing button in the "Import Files" window is not clicked, the documents will be imported without file or folder assignment and only with part of the document data. You will need to enter the remaining metadata as soon as possible.
