Tasks Overview

This section provides an overview of the "Tasks and Notes" window (accessible via the main menu "View" > "Tasks and Notes"). It briefly introduces the toolbar and the overview of the window.

The "Tasks and Notes" window is divided into the following four sections:

  • Toolbar

  • List of tasks and notes to be processed

    This lists all tasks and notes for a document selected in the document list.

  • Details of the selected task or note

    This displays details of the selected task or note.

Toolbar

With this toolbar, you can link tasks, notes, notifications, and task lists with a document. For example, you can assign a task to someone for a document. The person must then complete the task or forward it if they cannot handle it.

Additionally, you can use this toolbar to respond to and complete tasks and view the history of a task if there is a [history] for a task.

Symbols displayed in transparent gray are not available in the current editing status in STP Documents.

Overview

  • Click on the Button (Overview) in the toolbar.

    The "All Tasks for the Document" window is divided into the following three sections:

    • 1. Filter: Here you can use a filter to hide unwanted tasks from the task list.

    • 2. List: This lists all tasks for a document.

    • 3. Details: This displays the details of a task selected in the listing area.

  • Select the status and types in the Filter area that you want to filter out from the displayed tasks. Click on the corresponding buttons to do so.

  • Only the symbols highlighted in gray for status and types are considered for filtering. By default, all possible symbols are already selected for filtering.

  • Confirm the filter settings by clicking the Filter Button.

  • If needed, click in the header area of a column in the list to sort the tasks and task lists in the column alphabetically or numerically.

  • Click again in the header area of the column to reverse the sorting.

  • Click on the task or task list in the list to view the details.

  • Click the Close Button to exit the overview.

  • You can select and print individual tasks.

  • If all tasks are completed, the Print Button is disabled.

Task Status

The status of a task is displayed in the "Tasks and Notes" window and in the overview in the corresponding column.

Possible Statuses of a Task

  • The task is already completed.

  • The task is in progress.

  • The task is in progress and needs to be completed urgently.

  • The resubmission deadline has been exceeded.

  • The task deadline has been exceeded.

  • The task list was canceled.

  • The task list was properly completed.

  • The task list was interrupted.


    Note

    When a deadline is exceeded, the status no longer indicates whether the task was urgent or not. The deadline override replaces the Urgent status.
