Documents in Processes

This section uses an example to explain the significance of processes in STP Documents and the difference between private and public processes. It also shows what actions you are authorized to perform with these types of processes.

Understanding

A process in the STP Documents [Desk] filing cabinet consists of documents grouped together in any way. You can think of the process as a binder around a group of documents that can be assigned to a specific professional context, such as all relevant documents for a particular construction project (also known as a project file).

There are three different types of processes, each with different symbols, that appear on your desk after creation:

  • Private Process:

    A process is considered private if it is created by a user who does not grant access rights to any other user. Only the creator of the process can see and configure it as desired.

  • Public Process:

    A process is considered public if it is created by a user who grants access rights to at least one other user. Any authorized user can see the process on their desk, but can only configure it to a limited extent. Only the creator of the process has full configuration options.

  • Office Process:

    A process is considered an office process if it is created by a user who grants access rights to all other users. Any authorized user can see the process on their desk, but can only configure it to a limited extent. Only the creator of the process has full configuration options.

Example of Private and Public Processes

Mr. Schmidt sees three different processes on his desk, whose properties you can see in the following table:

Note that users with the role of Technical Administrator have full access to the processes.

Process Actions

The following actions can be performed in connection with processes:

  • Create a process

  • Add a document to a process

  • Configure access permissions for the process

  • Remove a document from a process

  • Delete a process

  • Display process for the document

  • Display document for the process

  • Send to the beA DESK
