Interface for Managing Register Structures

The "Manage Register Structure Templates" window consists of the sections "Available Register Structure Templates" and "Edit Register Structure Template," along with the buttons Apply Data, Save, and Cancel.

Section "Available Register Structure Templates"

The "Available Register Structure Templates" section contains the Filter input field, a list of available register structure templates, and the buttons (Add New Template) and (Delete Template).

Filter

Enter the first letters of the name you're looking for to narrow down the list of displayed values. The % wildcard character is not allowed here.

Section "Edit Register Structure"

The "Edit Register Structure Template" section contains the tabs "Structure" and "Assignments".

The "Structure" Tab

The "Structure" tab includes:

  • the input field Template Name
  • the selection field Numbering
  • an Edit Area for the Register Structure Template
  • the buttons
    • (Add New Element)
    • (Edit Element)
    • (Delete Element).

Template Name

Enter a descriptive name for the register structure template in this area. The chosen name must be unique.

Numbering

Select one of the options to set the numbering for the register structure:

  • "Arabic Numbers"
  • "Uppercase Letters"
  • "None"
  • "Lowercase Letters"
  • "Roman Numerals"

Button (Add New Element)

Select a storage location and click this button to add a new register to the register structure under the chosen storage location.

Edit Area for the Register Structure

In this edit area, you can perform the following actions:

  • Move Register: Select a register, hold the [Ctrl] key, and use the arrow keys to move the selected register. Registers can also be moved using drag-and-drop with the mouse.
  • Edit Register: Select a register and open the context menu with the right mouse button. Choose "Edit Register" to rename a register.
  • Add Subordinate Register: Select a register and open the context menu with the right mouse button. Choose "Add Register" to add a new register under the selected storage location.
  • Remove Register: Select a register and open the context menu with the right mouse button. Choose "Remove Register" to delete a register.

You can also work with the keyboard in the edit area:

  • Press the [Ctrl]+[Insert] key combination to add a register below the selected node.
  • Press the [F2] key to change the name of a register.
  • Press the [Ctrl]+[Delete] key combination to remove the selected register.

The "Assignments" Tab

On the "Assignments" tab, you can specify for each register structure template whether it is offered as a template for a file or folder type in a selection list when creating or editing a file. A register structure template can also be defined as a possible template for more than one file or folder type.

Mandatory Template

Additionally, you can specify for each register structure template that every file or folder of a file or folder type automatically receives a register structure derived from this template when created. If a register structure template is defined as a mandatory template for a file or folder type, selecting another template is not allowed when creating a new file or folder. However, the register structure of the file or folder can be edited in the file or folder management. A register structure template can also be defined as a mandatory template for more than one file or folder type.

Allowed (in the row for a file or folder type)

"enabled": The selected register structure template is offered as a possible template in a selection list when creating or editing a file or folder.

Mandatory (in the row for a file or folder type)

"enabled": The selected register structure template is used as a mandatory template when creating or editing a file or folder.

Mandatory templates for file or folder types are also evaluated when creating files and folders via the Document Collector. However, no register structures are assigned or changed for existing files and folders.

In the "Transfer Register Structures and Organize Documents" window, the settings on the "Assignments" tab are considered when selecting possible or mandatory templates for each file or folder type.
