The Document Preview

The document preview allows you to quickly view documents selected from the document list in PDF format.

PDFium Viewer

The document preview uses the PDFium Viewer by default.

  • This viewer can load documents faster and makes flipping through documents much quicker. For documents with complex formatting or color scans, the new document preview provides a significantly better display of the documents.

  • You can open the document displayed in the document preview in the associated application for reading from the toolbar.

  • If a document cannot be displayed in the document preview due to an error, the message "Unexpected error occurred" and the Open document for reading button will be displayed instead of the faulty document.

  • Switching between the new PDFium Viewer and the DevExpress Viewer is supported.

  • Switching back to the old Spicer Viewer is no longer possible.

  • In the office and personal settings, you can configure the desired viewer in the "Preview" section.

  • After the next start of the standard DESK or Outlook, the configured viewer will be used in the document preview.

  • The offline client always uses the configuration set during the first export to the local data store.

  • Enter the desired page in the page input field and press the [Enter] key to display that page in the document preview.

Switch Views

In the document preview, a maximum of two documents can be displayed side by side or stacked. Choose one of the following options:

  • Button (One Document),

  • Button (Two Documents Side by Side),

  • Button (Two Documents Stacked).

If two documents are displayed side by side or stacked, the active window is highlighted with a blue border. The newly selected document from the document list is loaded into this window of the document preview.

The Buttons (Show Previous Document), (Show Next Document) and (Chronological Document List Sorting) are not displayed when two documents are shown in the document preview.

Compare

If the compareDocs program is installed and licensed on the computer, the documents displayed in the document preview can be merged using the Compare button.

Document Title

Above the toolbar, the icon associated with the document format and the title from the document list are displayed for each document shown in the document preview.

Document Preview Toolbar

This toolbar allows you to zoom in or out on the document, search for words in the document, and print it.

Symbols displayed in transparent gray are not available in the current editing context in the standard DESK.

The Buttons (Show Previous Document), (Show Next Document) and (Chronological Document List Sorting) are not displayed when two documents are shown in the document preview.

Browse Through the Documents in the Document List

In the "One Document" view, the previous or next document in the document list can be loaded into the document preview from the PDF document preview using the Button (Show Previous Document) and Button (Show Next Document).

If two documents are displayed side by side or stacked in the document preview, the buttons are not available.

Chronological Document List Sorting

In the "One Document" view, the document list can be sorted by the "Chronological Date" column from the PDF document preview using the Button (Chronological Document List Sorting).

If two documents are displayed side by side or stacked in the document preview, the button is not available.

Print Documents

  • Click the Print button in the document preview toolbar or press the [Ctrl]+[P] key combination.

  • Make the desired settings and click the Button (Print).

The display and page break in the document preview may differ from the display and page break in the archived document.

Select and Copy Text

  • Click the Button (Tool Selection) in the "Document Preview" window toolbar and choose "Select" from the dropdown list.

  • Select the desired text in the document preview with the mouse.

  • Press the [Ctrl]+[C] key combination.

The selected text is now in the Windows clipboard and can be pasted elsewhere.

Zoom with the Mouse

  • Click the Button (Tool Selection) in the "Document Preview" window toolbar and choose "Zoom" from the dropdown list.

  • Hold down the right mouse button and draw a box around the area you want to zoom in on.

Move with the Mouse

  • Click the Button (Tool Selection) in the "Document Preview" window toolbar and choose "Move" from the dropdown list.

  • Hold down the right mouse button and move the mouse in the desired direction.

Open Cloud PDF Viewer and Edit PDF Documents

  • Click the Button (Edit) to open the [Cloud PDF Viewer].

  • The Cloud PDF Viewer allows you to add annotations to the document, apply digital stamps, and make redactions. It also enables document merging.

Compare and Merge Documents

Two documents from STP Documents can be merged using the compareDocs program. Both documents must be displayed in the document preview from the standard DESK.

compareDocs version 4.1 or 4.2 must be installed, configured, and licensed.

The Compare Documents button is only displayed and activated when two documents are shown side by side or stacked.

You can start merging the documents using the Compare button. The result of the merge can be archived as a new file or as a new version of one of the original documents.

Follow these steps:

  • Upload the desired documents to the document list.

  • Click the Button (Display 2 documents vertically) to show two preview windows stacked vertically.

  • Click the Button (Display 2 documents side by side) to show two preview windows side by side.

  • Load each document into one of the preview windows and click the Compare Documents button.

  • compareDocs loads both documents and merges them into a newly created result document. In this document, you can accept or reject changes.

  • Left-click in the desired preview window and then select a document from the document list.

  • Save the document and exit MS Word.

Limitation

The STP Documents document preview cannot replace the individual programs responsible for displaying and editing the documents (e.g., MS Word, MS Excel, MS PowerPoint, Adobe Reader, or similar).

Therefore, please note that the display of documents in the STP Documents document preview may differ from the original display in the respective programs for technical reasons, or the documents may not be displayed at all.
