Quick Search

With Quick Search, you can quickly look for documents by entering simple search terms in designated search fields.

Search Fields

Search fields are database fields that are evaluated during a search.

Fields from files and fields from folders cannot be used simultaneously in a Quick Search. This will result in an error message when executing the Quick Search.

Here are examples of combinations that should not be used simultaneously in a Quick Search:

  • General file data and general folder data

    Using File.Name and Folder.FolderName simultaneously in a Quick Search will result in an error message.

  • General folder data and topic-specific file data Using Folder.FolderName and Winsolvenz p4.Administrator simultaneously in a Quick Search will result in an error message.

  • General file data and topic-specific folder data Using File.Name and KnowledgeBase.Note simultaneously in a Quick Search will result in an error message.

  • Topic-specific file data from different file types. Using LawyerFile.Lawyer and Winsolvenz p4.Administrator simultaneously in a Quick Search will not result in an error message. However, the search result will always be empty.

Filter

A filter defines a criterion that must be met for a document to appear in the search results.

Conditions

Conditions are the sum of all filter criteria that must be met for a document to appear in the search results.

Sorting

This feature is disabled. Sorting determines whether the search result list is displayed in ascending, descending, or database-defined order.

Access Rights

Access rights for Quick Searches determine which users and groups can use a Quick Search. Users or groups with one of the access rights Full Access, Edit, or Read can use the marked Quick Search.

Quick Searches that existed before updating to the current version of STP Documents without assigned access rights will have Full Access assigned to the group Everyone after the update.

Remove the group Everyone from the Authorized input field and assign access rights to users and groups to restrict access to the marked Quick Search. Users or groups not listed cannot use the marked Quick Search.

A newly created Quick Search is assigned Full Access only to the logged-in user. Add the desired groups and users with the associated access rights in the Authorized input field. Users or groups not listed cannot use the marked Quick Search in STP Documents.

By assigning to groups, a user removed from the Authorized field can still have access rights to a Quick Search.

Manage access rights through groups and avoid assigning access rights to individual users.

At least one user or group must be assigned Full Access rights to manage the Quick Search.

Read access is sufficient to select and execute the Quick Search in STP Documents.

Read Access

The Read Access right allows the user or group to select and execute the marked Quick Search in STP Documents. The user or group cannot edit the Quick Search in the Quick Search management and cannot assign access rights to users and groups.

Edit Access

The Edit Access right allows the user or group to select, execute, and edit the marked Quick Search in the Quick Search management in STP Documents. Access rights cannot be assigned to users and groups.

Full Access

The Full Access right allows the user or group to select, execute, and edit the marked Quick Search in the Quick Search management in STP Documents. Additionally, access rights can be assigned to all users and groups.
