The following sections describe how to open access rights management for files, folders, documents, processes, search profiles, and quick searches.
File
Files in STP Documents can have access rights assigned to users and groups.
- The [F3] key opens the "File and Folder Management" window.
- Load the desired file into the Search Results selection field and select the file.
- Press the [F9] key.
- In the "Edit Access Rights" step in the "Edit File Data" window, you can assign access rights.
Folder
Folders in STP Documents can have access rights assigned to users and groups.
- The [F3] key opens the "File and Folder Management" window.
- Load the desired folder into the Search Results selection field and select the folder.
- Press the [F9] key.
In the "Edit Access Rights" step in the "Edit Folder Data" window, you can assign access rights.
You can also open the "Edit File Data" or "Edit Folder Data" window from the sidebar context menu.
Document
Documents in STP Documents can have access rights assigned to users and groups. You can open the "Change Access Rights" window from the document list context menu.
- Select "Management" > "Change Access Rights" from the document list context menu.
- In the "Change Access Rights" window, you can assign access rights.
Process
Processes in STP Documents can have access rights assigned to users and groups.
- The [F7] key opens the "Process Management" window.
- Select a process and click the Properties button to open the "Edit Process Properties" window. In this window, you can assign access rights.
Search Profile
Search profiles in STP Documents can have access rights assigned to users and groups.
- The [F8] key opens the "Search Profile Management" window.
- Select a search profile and click on the "Access Rights" tab.
Quick Search
Quick searches in STP Documents can have access rights assigned to users and groups.
The [Alt]+[F9] key combination opens the "DMS - Office Settings" window.
Click on "Management" in the navigation area.
Click the Quick Search Management button on the right to open the "Quick Search" window.

Select a quick search and click on the "Access Rights" tab.
Note
The access rights defined in the access rights management can be overridden by additional assigned groups and the access rights of files and folders.
Access rights to documents should not be changed if:
- multiple documents are selected
- the current document version is not selected
- the logged-in user does not have full access, but only read or write permissions
- the document is locked.
The access rights of finalized documents can be changed if none of the above cases apply.
Access rights for users from the Administrators group cannot be restricted. Any set restrictions will be ignored.
Assigned roles do not affect the access rights of an object. Roles only grant access to windows and functions, such as when calling the office settings.
Related to
