The Import Window

Filling out the entire form is not necessary for the import. Assigning files or editing document data can be done at a later time.

Left Window Pane

This is where the emails to be imported and their indented attachments are displayed. Checkboxes in front of the titles allow you to select or deselect them for import.

The title of the email message is generated from the email's subject line.

The titles of the email attachments are generated from the file names of the attachments (without file type extensions like .pdf or .docx).

You can overwrite the titles with a double-click. The original designation remains in the [[Mail Draft Area]] on the right.

When you click to select an item (emails, documents in email attachments, zip files), the options (buttons) in the "Tasks" area on the right apply specifically to that item.

In other words, a task or note never pertains to multiple items on the left side.

Multiple Editing

This checkbox is only not visible in the following case: The email to be imported has no attachment.

  • "enabled": Default setting: The assignments in the "Filing" area of the right window pane apply to all items (emails and attachments) displayed in the left window pane.
  • "disabled": It is possible to assign an item marked in the left window pane to a file and, if applicable, a register in the "Filing" area. Each item on the left side can theoretically be assigned to a different register of a file or a different file (plus a freely selectable register).

Once an item is assigned to a file and, if applicable, a register, the designation "File > Register > Subregister > etc." appears behind it. If the assignment is removed, "Unassigned" appears in red text behind the item.

Filing Area

Assign one or more emails to a file and, if applicable, its register structure.

File

Enter a file reference number or the name of the matter.

  • Use the Button (Arrow) to open a drop-down menu where you can access your recent search entries.
  • Use the Button X to remove the entry.
  • Use the Button (Magnifying Glass) to conduct the search.

Register

  • Use the Button (Arrow) to expand the register structure (if available) of the selected file and choose the appropriate node.

  • Use the Button X to remove the entry.

    If a file with a register structure is selected, a register node does not necessarily have to be assigned.

Tasks Area

This area is hidden when you have opened the import window for multiple emails.


The following buttons are available.

Button (Add New Single Task)

opens the window to create a new single task for the selected item in the left window pane.

Button (Start New Task List)

opens the "Start New Task List" window.

Button (Add New Note)

opens the window to create a new note for the selected item in the left window pane.

Button (Add New Reminder)

opens the window to create a new reminder for the selected item in the left window pane.

Button (Add New Notification)

opens the window to create a new message for the selected item in the left window pane.

Button (Add New Urgent Task)

opens the window to create a new urgent task for the selected item in the left window pane.

After saving the tasks and notes in the editing window, all tasks and notes (including the number of recipients) created for the item selected on the left side are listed under the button bar in the "Tasks" area.

If necessary, open the listed tasks and notes with a double-click to edit them.

Button (Delete)

removes the assignment of the task or note marked on the right side to the item selected on the left side.

Document Data Area

Written on

This automatically shows the date you opened the import dialog for the email. Enter the date the email was received/sent if necessary. Change its contents if needed by manual entry or using the Button (Calendar).

Date In/Out

This automatically shows the date you opened the import dialog for the email. Change its contents if needed by manual entry or using the Button (Calendar).

For mail, "Incoming" is automatically marked. This also applies to emails from the Outbox folder. Change the indication if necessary.

Mail Draft Area

The displayed contents cannot be edited.

Buttons at the Bottom of the Window

Button Import

STP Documents imports the email. The email remains in Outlook.

Button Import and Delete

STP Documents imports the email. The email is moved to the Deleted Items folder in Outlook.

Button Cancel

The import of the email is canceled.
