STP Documents is a software solution designed to address the limitations of traditional organization in law firms. The archiving of the increasing volume of documents, receipts, emails, etc., requires a lot of space and time. Files are searched for with significant personnel effort and cannot be accessed by multiple people simultaneously. A document that is misfiled once is not retrievable.
STP Documents offers the perfect solution for this. It allows you to comfortably store and manage all your firm's documents digitally. Even large volumes of documents are no problem for STP Documents, and with its convenient search and archiving features, it's easy to find stored documents (comparable to a very well-organized filing cabinet).
Every document is systematically recorded in STP Documents from the start, to then be automatically forwarded to the appropriate caseworker or placed in the firm's general inbox. From there, the responsible processor can, for example, initiate a workflow for a document, where several tasks are processed sequentially by specific individuals.
The individual workflows of your firm are integrated into STP Documents as predefined task lists according to your requirements, thus standardizing them. With STP Documents, you receive a very specific, time- and cost-saving organizational solution for your firm's documents. Additionally, STP Documents supports you in monitoring tasks and deadlines. You always have an overview of your procedures, allowing you to prepare proactively for upcoming court dates.
The following sections explain the terms metadata, files, file data, file type, folders, folder data, folder type, documents, document data, processes, tasks, and task lists.
Metadata
Metadata refers to data that contains information about other data. Metadata is used, among other things, for tagging files, folders, and documents, enabling document search and management.
Files
Documents can be assigned to files in STP Documents. Files have at least one designation, a file type, and a file status assigned.
File Data
File data is the metadata of a file. All documents in a file share the same file data.
File Type
The file type determines which file data and document data are available for recording in STP Documents.
Folders
Documents can be assigned to folders in STP Documents. Folders have at least one designation, a theme, and are assigned a folder type.
Folder Data
Folder data is the metadata of a folder. All documents in a folder share the same folder data.
Folder Type
The folder type determines which folder data and document data are available for recording in STP Documents.
Documents
Documents are all objects recorded in STP Documents and can be displayed in the document list.
Document Data
Document data is the metadata of a document.
Processes
Documents can be assigned to processes in STP Documents. Processes have at least one designation.
Tasks
In STP Documents, tasks can be assigned to documents for users or groups.
Task Lists
In STP Documents, task lists can be assigned to documents. Task lists consist of multiple tasks for users or groups.
Drag-and-drop
Drag-and-drop means the following: Click an object with the left mouse button and hold the mouse button down. Move the mouse pointer while holding the mouse button over another object, such as a folder. The pointer changes when the object can be assigned to the target object. When the mouse pointer is over the target object, release the mouse button. Depending on the context, you assign one object to another (e.g., move or copy in the Windows file system).
This is how you can determine whether to copy, move, or create a shortcut during drag-and-drop.
