STP Documents On-Premise 8.2

Dear Sir or Madam,

A few months ago, we released LEXolution.DMS 8.0 SP2 with improved document editing. Since then, we have enhanced the performance and stability of LCAS. To start LCAS early, we recommend setting it to launch via Windows Autostart.

After updating to DMS 8.2, you need to confirm your choice of where DMS links open (Standard DESK or Outlook DESK) in your personal settings again.

Changes

#51276
LCAS and TrayApp have been merged. This has significantly sped up the DMS controls. LCAS now starts within 10 seconds. Dialogs open much faster, and the application uses less RAM.

#43633
If the Standard DESK is started and LCAS is not yet running, LCAS will now start automatically.

#47051
The Standard DESK now displays the LCAS connection. If a connection is selected in the Standard DESK that differs from the LCAS connection, a warning is displayed.

#51136
If the LCAS connection does not match the DMS system opened in the Standard DESK, checking in (unlocking) documents in progress is no longer possible.

#50175
Documents are no longer shown as "in progress" once they have been checked in.

#50057
Documents no longer remain locked after a successful check-in.

#47775
The steps for completing document editing (saving, discarding, etc.) are now logged in the log files.

#50055
The "Documents in Progress" list now shows the correct count.

#55719 If the STP.Add-In.Outlook.Icon in Outlook is manually deleted, it can be restored through an online repair of Outlook.

#50883
The Outlook Icon Add-In is only supported for Office 365 up to Outlook version 2306. From version 2310, the blue dot for imported emails can no longer be displayed.

#56526
In the indexing assistant of the Standard DESK, only titles with a maximum length of 256 characters can be entered. Longer entries caused an error in previous versions.

#51774
The DMS Server Setup no longer shows an error message if the updater is not installed.

#51987
In the document search in the DMS controls, the default for the file topic is now "All Types." Even if another value is alphabetically sorted before "All Types," "All Types" remains the default.

#4745
In the file search, the default for the file type is now correct, and the user-set default is remembered across restarts. (#7215 / #15527)

#32702
When importing to a file, the red "Without Assignment" notice is now displayed immediately and not only after the file selection has been reset.

#40992
The document-related menu in the document preview now offers the same functions as the context menu in the document list.

#43106
In the DMS controls, a document can now be imported into the file again via drag-and-drop. The "Search for already imported emails" dialog no longer appears.

#55332
During the installation of the DMS server, client setups are no longer automatically placed in the updater repository. To continue automatically updating clients, a manual placement in the update repository is required.

#52350
The DATEV interface is now faster. (#15442, #21306)

#47564
The Standard DESK no longer crashes when the DATEV interface is enabled if DATEV is not installed on the current computer, such as the server. (#7304)

#48439
In the document preview, documents created from DATEV are now displayed with correct text fields in the header. (#13717)

#54133
Non-PDFs can now be downloaded simultaneously to the exact same second via the API.

#48711
The DMS server no longer has a performance issue with files containing 14,000 registers.

#50854
Before switching DMS systems, all documents opened for editing should be checked in. Since there are occasional cases where documents were opened for editing but the application is closed and these documents can no longer be manually checked in, it is now possible to switch the DMS system anyway.

#50099
When switching DMS systems, the DMS warns if some Office documents are still in progress. This warning now also appears for NON-Office documents.

#50162
The erroneous message that a document "cannot be opened for editing" when switching DMS systems no longer appears.

#47243
The search profile management could not be opened in exceptional situations. It can now be opened again. (#2098)

#47013
In the PRO Client, the pipe symbol is now also displayed when searching in the registers.

#46474
The Word Add-In is always set to active after installation or update. This makes it start faster.

#47788
A TXT document with less than 100 characters can now be opened for editing in DMS.

#48111
A PDF opened from DMS for editing is now immediately checked in again if only the PDF document is closed within the PDF application; the PDF application itself remains open. (#11551)

#48440
When opening the task creation dialog, the word "Standard" in the task text field is now directly highlighted, and a new description can be entered immediately without having to click into the text field first. (#12171)

#47934
The Standard DESK now also starts successfully if users do not have write permissions on the path configured in the registry key Computer\HKEY_CURRENT_USER\STP AG\Lexolution\ExternalInterface\CommunicationFolder.

#47473
In the document preview, emails sent on behalf of others no longer have the "on behalf of" marking displayed incorrectly. (#6353)

#47043
In the document preview, a special dot symbol is now displayed correctly. (#3157)

#46486
During the update, the AccessRights assembly is now also updated when updating the database. The executing user must be a DB Owner and additionally needs the UNSAFE assembly right. For simplicity, the SA user can be used for this.

#49296
The PRO Client can now always be opened after several specialized applications have been closed.

#48101
In the document preview, Word bookmarks are now displayed just as they are directly in Word. (#11710)

#48080
When creating a new document version, long comments are now automatically wrapped so that long lines are always visible.

#46471
If Outlook is closed and "Email to File" is selected in the file list, the DMS client remains operable as usual while Outlook starts in the background.

#50857
In the task list management, the area for user selection is now larger, allowing for better distinction of names. (#28163)

#48748
If no changes are made to the layer representations in the workbook in the personal settings, the layer representations set in the office settings are now active in the workbook. (#13970)

Version 8.2.5

#58499
The standard DESK issue related to oversized font sizes in tasks and notes has been fixed.

#60766
Bug fix for the update from version 7.6 to 8.2.

Version 8.2.4

#54994
The cloud-based PDF editor for stamping, merging documents, and other functions has been integrated.

Version 8.2.3

#59316
Fixed an issue with drag-and-drop for claim registration after P4.

Version 8.2.2

#58008
For beA messages, the full text is now also extracted. For old messages without full text, the process must be started manually. The IDs must be queried via the database:
SELECT [ID] FROM [dbo].[tblDocVersion] WHERE Extension like 'beamsg'.

Version 8.2.1

#57996
PDF Viewer Update (Document Preview).

Known Issues

When using Citrix environments, issues may arise where the log states, for example:

Not enough quota available to process this command.

In this case, the temporary files on Windows should be cleaned up (cleanmgr).

Currently, there are issues due to a Microsoft update when using Outlook from version 2403, if an email is forwarded or replied to in the embedded view. Here, the top email elements are covered by a DMS element. Our recommendation is to enable the "Reply and Forward in a new window" settings in Outlook.

Release

STP Documents is released for the following systems: - Windows Server 2022 - Windows Server 2019 - Windows Server 2016 - Windows 10 - Windows 11 - MS SQL Server 2019 - MS SQL Server 2017 - MS SQL Server 2016 - MS Exchange Server 2019 - MS Exchange Server 2016 - Exchange Online (see restriction below) - Office 2021 - Office 2019 - Office 2016 - Office 365 (see restriction below) - TOCR Version 5 - STP Common Services 1.5.0 - STP User Management 1.6.512

The release for Office 32 Bit is only valid with the additional agreement from STP.

In the 32-bit version, it is important that the compatibility mode is enabled in all Office products. Without using compatibility mode, various errors may occur in Outlook DESK and Office Integration.

It is important to set the compatibility mode before installing Outlook DESK and Office Integration, as errors may occur at the first start otherwise.

We generally recommend using the 64-bit version of Office if possible. The 32-bit version is known to quickly run into memory shortages, leading to errors and crashes.

The release for Office 365 includes restrictions and is only valid for local installations of already released Office products (Microsoft 365 Apps for enterprise). The release explicitly does not apply to the cloud version of Office.

We release Office 365 with the restriction that we cannot rule out that an update to the Office 365 desktop applications may jeopardize the functionality of the STP add-ins.

STP Documents is tested and released for use with Exchange Online (Office 365) in the current version.

We will continue to test future versions against the then-current version. However, updates to the Exchange Online environment may cause malfunctions that need to be analyzed promptly.

This release is only valid for the use of Exchange Online as a backend system and not for the use of Outlook Web Access (OWA). Using Outlook DESK in OWA is not possible.

The Outlook icon add-in is supported for Office 365 only up to Outlook version 2306. From version 2310, the blue dot for imported emails can no longer be displayed.}

The release for Exchange Online explicitly does not apply to the Exchange coupling of STP Documents. This only affects the file synchronization in the sidebar of the standard DESK.

The Outlook DESK functions fully.

Limitations

  • For client operating systems, it is explicitly noted that Home, Starter, and RT Editions are NOT supported.
  • The Office Editions Starter, Home & Student, Home & Business, and Office RT are NOT supported.
  • On Windows 10, users without administrative rights are not allowed to save files directly on C:. All settings in STP Documents that lead to files being saved directly on C: must therefore be changed.

Additional Notes

  • STP Documents requires the Microsoft .NET Framework 4.8 on both the server and client sides. Please install the .NET Framework 4.8 in advance (e.g., during a planned maintenance window) on the DMS server and clients so that the STP Documents update runs smoothly and without interruption. Installing the .NET Framework requires a system restart.
  • STP Documents requires the central STP User Management (UM) in version 1.6.512 or higher and STP common services in version 1.5.0 or higher. You can find the downloads for these components on the STP website under Software Downloads. When updating from version STP Documents 7.0, please first perform the DMS update and then update the STP User Management and STP common services.
  • For use with winsolvenz, at least winsolvenz.p4 10.12 or higher is required. winsolvenz.p4 is not supported.
  • For use with STP Lexolution (formerly LEXolution.KMS), at least LEXolution.KMS 6.1.132 or higher is required.
  • For newer SQL Server versions, it is essential to set the compatibility mode to SQL Server 2008, otherwise updating the STP Documents database is not possible.
  • When using DMS with load-balanced terminal servers or user profile synchronizations, configuring the central editing directory is absolutely necessary.
  • From STP Documents 8.0.213, the standard DESK requires the LCAS installation and Office integration for document editing.
  • Please restart the DMS server machine once after a successful update to this version of STP Documents.
