Basic/Personal Data

To later assign attorneys to cases or secretaries to attorneys, all employees must be listed by name with a unique employee code of up to five characters and a location. For employees actively working at the firm, please check the Active Employee box. If an employee leaves your firm, uncheck the box so that the employee is no longer listed by default in the employee filter in the ribbon (e.g., in the case file).

Contact Information

Detailed contact information for the employee is optional and can be entered here.

Substitution

Substitution rules can be set up for recording time and processing reminders in relation to other employees.

Time Recording/Process Reminders for: Here you can specify for which employee a selected employee can record time or process reminders and deadlines.

Time Recording/Process Reminders by: Here you can specify that the employee listed here can record time for a selected employee or process their reminders and deadlines.

Employee/Partner Assignment

The employee assignment represents the relationship between attorneys and their secretaries/legal assistants. The assignment allows for flexible selection of contact information for your correspondence. A secretary/legal assistant can work for multiple attorneys, and conversely, an attorney can have multiple secretaries/legal assistants assigned.

The employee can be assigned the status Partner, Attorney (employed) or a status configured by the firm on the Basic/Personal Data tab. In the partner assignment, you can relate partners to employed attorneys and record the percentage of the assignment. The assignment is used for the correct evaluation of partner revenues.

Insider Information

Here you can enter information that will be considered during a conflict check. Use the three-dot button to enter the values that will be checked in the conflict review, e.g., "Sample Company Inc." if the employee holds stock packages in this company. This tab is specially secured with a functional right and can be hidden. The available values are configured under Professional Administration (General) > List Entries > Collision List Features.

Practice Groups

You can access the Practice Group view from the employee view using the Practice Groups button. In this view, employees can be assigned to different practice groups.

History

Here you record the employee's Status, Location, and Full-time Equivalent (FTE). If the status, location, or FTE changes, record the new entries for the beginning of the corresponding month. Entries must always start on the first of a month. The Until Date is automatically managed by Lexolution.

Employee Status

You can manage your own statuses under Professional Administration (General) > List Entries > Employee Status. Each status you create must be assigned to a Lexolution system status. These system statuses are: Partner, Attorney (employed), and Other Employee. The assignment to the system status affects the Partner Assignment and the total calculation in the text marker Gross Total Amount (by Status).

Rates

Using the Internal Rates and External Rates buttons, you can access the central view of employee hourly rates under Professional Administration (Services) > External Rates or Internal Rates. There you can view and configure employee rates.

Export

Using the Export button, you can export the data of all employees in your firm to a CSV file. In addition to the basic data, all links between employees (e.g., substitutions) are also exported.
