Document Data

Document data are metadata about the document that describe it in more detail and can be used later for searching.

Terms

File

Documents can be assigned to a file. For each document in a file, you can capture additional document data depending on the file type. You can reference one file from another file.

This must not be of the same file type. References to folders are not possible.

Folder

Documents can be assigned to a folder. For each document in a folder, you can capture additional document data depending on the folder type. You cannot assign references to other folders or files to folders.

Register

Registers are subdirectories within a file or a folder. Documents can be stored in registers according to additional sorting criteria.

Register Structure

The register structure defines a tree structure of registers for a file or a folder. The register structure specifies the names, numbering, and order of the registers. Each file or folder can be assigned a register structure. In the "Register" step in the "File Data or Folder Data" window, register structures can be created, changed, and deleted for each file or folder.

File Type

In STP Documents, the following file types are already set up by default:

• WinMACS Lawyer
• WinMACS Notary
• InsoMACS
• Lawyer File
• Office File
• Winsolvency
• ReNoStar
• Phantasy

Depending on the file type, different file data and document data are available. With the theme designer, you can derive your own file types from the standard themes and templates and define document data for a theme. The Mail theme is not a standalone theme; it complements the themes with email information from archived emails.

Folder Type

In STP Documents, the following folder type is already set up: Knowledge Base.

Depending on the folder type, different folder and document data are available. With the theme designer, you can derive your own folder types from the standard themes and templates.

File Data

Depending on the file type, different file data may be available.

With the theme designer, you can derive your own file types from standard themes and templates.

Folder Data

Document Data

Document data can be captured for each document. They are metadata that describe the document in more detail. Depending on the theme, different document data are available.

In the theme designer, you can specify which document data are available for capture in STP Documents for a theme.
