You can find the view of billing contracts under Administration > Accounting.
Here, you can enter billing data and link it with a recipient billing configuration to a contact for use in files.
Additionally, you can assign a billing contract to multiple natural and non-natural persons, as well as to a file billing configuration.
If two different file contracts exist, you can set which billing contract will ultimately be used through hierarchy settings.
You define paper invoice, e-invoice, LEDES 98BI for billing and enter the necessary data for creation along with the agreed service catalog.
Once a billing contract is created, the paper invoice format is always active and cannot be deselected, as it is needed for the billing process.
Additionally, you activate the creation of e-invoices with the e-invoice active option and the creation of a LEDES invoice with the LEDES active option.
In the delivery, there is always a billing contract with the system option that cannot be deleted. This billing contract is used when no other billing contract is assigned during billing. When you create and activate a new service type under Administration > Professional Administration (Services) > Service Types, this service type is automatically added to the service catalog of this billing contract and offered during service recording.
With the options Store e-invoice in DMS and Store LEDES in DMS, you determine the storage of the generated documents in the linked document management system. If this option is not used, a path for storage in the file system must be defined in the configuration.
Paper invoices are always stored in the document management system.
LEDES
For LEDES files, you can make LEDES-specific settings in detail, such as the source for the Timekeeper ID, whether the ISO country code should be 2-digit or 3-digit, or how the header should look.
E-Invoice
For e-invoices, you can enter the export path if storage in the document management system is not active.
Furthermore, you can configure the firm's tax ID and choose whether case activities should be included in the file for flat-rate invoices. Finally, you can set which version of the e-invoice should be written into the file.
However, in each file, you can restrict the standard service catalog of the standard paper contract to specific service types via Billing > Service Catalog. Then only these service types will be offered during the recording of times and expenses.
Contacts (EAK)
Using the Contacts (EAK) button, you assign the contacts or the recipient billing configurations of the contacts for which the contract and the service types should apply. When you then link one of these recipient billing configurations with a billing configuration of a file, the provisions of the associated billing contract apply to this file, such as a specific service catalog during service recording.
Service Catalog
Using the Service Catalog button, you can assign specific service types that should apply to this contract. In the Taskcode/Expensecode and Activitycode columns, you can enter the desired LEDES codes. The codes will then be continuously displayed in the system during service recording and billing and will be written into the LEDES file at the end. In the service catalog, you can also specify which service types should be billable and which should not.
You make the selection by clicking in the NA column. Non-billable service types can be selected during service recording. They are displayed in red to indicate that they are not billable. When added to a billing draft, these non-billable services are automatically set to written off (hours) or non-billable (expenses).
The service types of the service catalog can be further restricted at the file level using the Billing > Service Catalog button.
Copy Billing Contracts
Using the Copy button, you can copy billing contracts. The service catalogs and detailed settings are adopted. The contacts must be reassigned.
Each recipient billing configuration of a contact can only be assigned to one billing contract. If you want to assign a contact to more than one contract, please create additional EAKs for the contact.
For contacts without EAK, the system automatically creates an EAK when adding the contact to a billing contract.
