Search Algorithms (Standard Configuration)
The search for people, organizations, authorities, and contacts is executed using a search algorithm.
The Fuzzy option executes additional complementary search algorithms and considers stop word lists. This way, phonetically similar contacts can be found, and unnecessary name components, like "Inc.", can be excluded.
Minor typos and special characters, such as accents, are also found.
The search for files (file number, file name, external file number) is a "Starts with" search.
Using the % sign, you can expand the "Starts with" search to a "Contains" search.
Example:
There are 2 files with the names:
"Consultation Gas Stations Inc." and "Gas Stations Inc. Consultation"
If you perform a quick file search with the word "Gas Stations," you will only find the file "Gas Stations Inc. Consultation."
However, if you enter "%Gas Stations," you will see both files.
Below are some examples to narrow the search using parameters (percent sign) in the search input. Case sensitivity is not considered. ||| |–|–| |Search For|Search Result| |STP%Inc.|Returns entries where any number of words can be between the two search terms, e.g., STP Information Technology Inc.| |%Inc.|Returns all entries containing Inc., e.g., STP Information Technology Inc.| |%inf%inc|Also returns STP Information Technology Inc. as a search result|
However, it must be considered that the search input of multiple search words must be entered in order. Entering %Inc.%STP will not yield any results; please use only one search word in this case.
Contains Search
By default, the quick search is defined as a "Starts with" search, but it can be changed to a "Contains" search in the system settings.
This setting cannot be adjusted through the application itself for technical reasons and must be made in the system environment.
That means with the search expression STP Inc., you will get a list of results where all entries in the relevant fields contain the terms STP and Inc.
The search expression you entered is broken down into individual words and only applied to the file name field; for the fields file number, external file number, file Foma, old file number, only a comparison is made.
This means that in the corresponding search field, the search term must be completely and cohesively contained. For example, STP Information Technology Inc. would not be found in these fields (except for the file name) if you search for STP Inc.
In this case, it is more effective to search for just one search term if the search through the file name does not yield the desired result.
Search When Linking Objects
Some lists are marked with a green plus or a red x, indicating that objects can be added or removed here.
These are add/remove lists.
Clicking on the add symbol brings up a search that only offers the object group you need to search for in this case.
Enter the desired properties and start the search.
A double-click allows you to select the object from the search results. You can also select multiple objects and add them to the list at the same time. You can remove an entry from the list by clicking the row and then clicking the remove button.
The icons in the row show you which entries you have added or removed in the current editing session.
