In the General Settings, you can configure both general functions and accounting-related functions through the tabs General, Accounting, External Interface, and Bookmarks.
File
Potential file status: Checking Potential file status makes this file status available.
Close main files with active sub-files: You can configure whether a main file can be closed with active sub-files or not.
Default setting for checking tax-free expenses when filing: You can decide whether Lexolution should prevent the closing of files with unbilled tax-free expenses by default. Here, you only configure the default setting.
The final decision can be made directly when closing, provided the user has been assigned the corresponding function right 10018.
Check fee limit additionally when creating draft documents: You can set it so that you are alerted to the fee limit being exceeded at the draft document creation stage, rather than only when finalizing the invoice draft.
Execute billing run: Always include all sub-files from the hierarchy: When this function is enabled, the function Update partial invoices through the file hierarchy is automatically executed before generating invoice drafts during each billing run. This means the billing configuration of the billing run is precisely (re)configured according to the associated file hierarchy before generating the invoice drafts.
WVL in months: You can enter a period in months to determine after which period of inactivity an automatic inactivity reminder for files should be generated. If the field remains empty, no file check and thus no automatic entry of an inactivity reminder will occur.
Firm policy: You can configure the firm-wide specified firm policy. In the file data, the configured value for the firm policy is preset when increased liability risk is activated.
Firm
Firm's VAT ID: Here you can enter the firm's VAT ID number. This is required if you want to perform a check of a contact's VAT ID number with the Federal Central Tax Office.
Firm's tax number: Here you can enter the firm's tax number. It is a free entry field without specific format requirements.
Base currency: Here you set the firm's base currency.
Allow multiple practice group leaders: More than one practice group leader can be defined in a practice group.
Default setting for billing contracts filing DMS with active: When a new billing contract is created, the options File XInvoices in DMS and File LEDES in DMS are activated.
Revenue Distribution
This option sets which values of the hourly positions are used as the basis for revenue distribution for the invoice. According to hourly rates of the invoice in invoice currency The calculation is based on the hourly rate * clocked hours of the invoice position.
According to external standard rates in base currency
The calculation is based on the external standard rate * clocked hours of the invoice position. When using this option, an external standard rate must be available for employees.
According to hours worked and internal standard rates in base currency
The calculation is based on the internal standard rate * clocked hours of the invoice position.
When using this option, an internal standard rate must be available for employees.
Acquisition Distribution
Active acquisition distribution: Here you can activate the function that allows acquisition shares to be distributed on the file.
When inactive, the acquisition distribution button does not appear in the file view.
Check 100% acquisition distribution: You can configure that the sum of the distributed acquisition shares must always be 100%.
Max. acquisition recipients per file: You can set a maximum number of acquirers per file that must not be exceeded.
Undistributed share to HVRA: You can set that the undistributed acquisition share should automatically be distributed to the HVRA.
Close invoices only with completed acquisition distribution: You can set that an invoice draft can only be finalized if the acquisition distribution of the associated file has been completed.
Conflict Check
No hits against free conflict checks: You set the default filter in the conflict check results view.
Finalize invoices with conflict check status review: You set whether the conflict check status is relevant when finalizing invoices.
Scheduler (automatic conflict check)
Since version 9.2 of Lexolution, it is possible to define a scheduler (a time-circulating process) that automatically performs the conflict check when creating or changing relevant participation types if the status "Execution required" is set.
The interval can be set in minutes.
After configuration, the server service must be restarted to activate it.
This option replaces the automatic start of the conflict check when saving the file.
Important: Since the scheduler runs on the Lexolution server, the individual function right [10032 Conflict Check - edit] no longer applies.
If the conflict check is set up as a scheduler, this individual function right is not considered.
Using checkboxes, you can activate the scheduler, and the entry to the right defines the rhythm in which the scheduler performs a check.
The input is in minutes and is preset to 5 minutes.
Please note:
After changing the setting, the Lexolution server service must be restarted for the setting to take effect.
Documents
Advanced document generation: Here you can set whether advanced document generation should be activated by default. It is a prerequisite for the function Create letter. This setting only controls the default. You can still manually select the respective different setting when choosing a system template (e.g., for an invoice draft).
Display currency symbol in bookmarks: Here you can configure whether the currency symbol (e.g., €) should be displayed in the bookmarks.
KMS is the leading system for access rights in Lexolution.DMS: When this feature is enabled, the access rights configured in a KMS file are transferred to the corresponding DMS file. If different access rights are configured in the DMS file, they will be overwritten when editing/saving the associated KMS file. If the feature is not enabled, the access rights of the DMS file will not be overwritten by the access rights of the associated KMS file. By default, the feature is enabled.
Automatically open invoice document after completion: When this feature is enabled, the invoice document will automatically open in Word upon completing an invoice draft.
Automatically assign contact person for invoice recipient: When this feature is enabled, the contact person for the invoice recipient, assigned in the file participation, is automatically added when an invoice recipient is added to an invoice draft.
Run macro after updating bookmarks in Word Add-In: You can enter the name of a Word macro in the text field. This Word macro will then be automatically executed in the Word Add-In after updating the bookmarks once they are filled.
Website
News Website 1 and 2: Here you can enter your web addresses for the KMS News page. If a web address is temporarily unavailable, Lexolution will switch to other stored web addresses.
Default News Website: Here you set the default web address.
Personal Accounts
In this section, there are labels for Debtor Number Start Value and Creditor Number Start Value. Here, the user can set the start value for the debtor and creditor numbers.
The definition of a start value for assigning debtor and creditor numbers is as follows: Default = 1
The assignment of debtor and creditor numbers is based on the following algorithm:
- If the start value is less than the possible configured range, the first possible number is assigned (function as before).
- If the start value is within the configured range, the next debtor number is assigned starting from the configured number. The configured number must already be created.
- If the start value is greater than the possible configured range, no number will be assigned (function as before).
Booking
Pre-fill cost center field from employee: You can configure the booking's cost center to be automatically pre-filled from the cost center of the entered employee.
Cost center field is read-only when using employee: In addition to pre-filling the employee's cost center, you can set the cost center field to be read-only. This ensures that the cost center always matches that of the entered employee in the booking entry.
Invoices
Fully paid invoices can be canceled: You can configure whether fully paid invoices can be canceled or not.
Partially paid invoices can be canceled: You can configure whether partially paid invoices can be canceled or not.
Due date = Document date: You can configure that upon completing an invoice draft, the due date is automatically written into the Document 2 field. Completed invoices with a fee of 0 EUR can always be canceled.
General
Domestic: You can set which country should be pre-selected in the country selection, e.g., for contact addresses.
Booking Text
Prefix: Here you set which prefix should precede the automatic booking text.
Pre-fill file reference and prefix: You can set the booking text to be pre-filled with the file reference and a prefix during booking entry.
Pre-fill invoice recipient/contact: You can set the invoice recipient to be pre-filled in the booking text.
In combination with pre-filling the file reference and prefix, the invoice recipient is inserted after the prefix and file reference.
Use file reference and prefix for statistical bookings: You can set that for statistical bookings, the file reference and the chosen prefix are automatically inserted into the booking text.
Attach invoice recipient/contact for statistical bookings: You can set that for statistical bookings, the invoice recipient is automatically inserted into the booking text.
Hit Rate for Bank Statement Import
Option to consider invoice numbers from: A maximum 10-digit number can be stored here. If a number is entered, the numeric part of the found invoice number must be greater than or equal to the configured number.

Option to consider invoice recipient: If this option is enabled, for open items, the name of the invoice recipient must exactly match the client/payment recipient or final client/payment recipient in addition to the invoice number.
For individuals, both first and last names are considered; otherwise, only the name is considered.
External Interface
Default value for tax situation tax-free expenses: You can configure a tax situation for tax-free expenses for invoices imported into Lexolution via the External Communication Interface.
Bookmarks
Display of employee names in bookmarks:
You can set the display and sorting of employee names as follows:
- “Name Title, First Name” - Sorted by Name, First Name
- “Title First Name Name” - Sorted by Name, First Name
- “Title First Name Name” - Sorted by Title, First Name, Name
The setting applies to the following bookmarks:
- Fee: Hourly positions (summed by attorney)
