In the configuration view External Rates, the firm-wide external standard rates are stored.
The configuration includes not only the external rates for file activities but also the external rates for vehicles, copies/files, and daily and absence allowances (formerly in the configuration "Price Lists for Expenses").
Previously, employee hourly rates were configured in the employee view. This configuration now needs to be done in the configuration view External Rates.
You can create new rates or edit existing ones.
The stored rates can be overridden by more specific rates set for the recipient or the file.
An overview of which stored rates apply, for example, to a specific file on a certain date, can be found in the separate view Resulting Rates.
Filter
The filter provides information on the criteria by which type, file/contact, and currency the current view is restricted. In this External Rates view, the standard rates are displayed without restrictions by file and contact. You also have the option to filter the rates by currency.
For example, if you navigate from a file to the agreed rates of the file, the filter type is set to Agreed Rates and the filter file/contact is set to the corresponding file.
Service Category / Unit
You must select one of the offered service categories.
Applies to Service Type
Here you can select a specific service type to which the external rate should apply. You can leave the field blank. In this case, the rate would apply to all service types of the selected category (e.g., to all service types of the file activity category).
Applies to Employee Status
You can choose whether the rate should apply per employee status or per employee. Here you can assign the employee status. This means that all employees who have this status and do not have a more specific employee rate will have the employee status rate as the basis. If the employee status rate changes, you do not need to manually adjust the rate for each employee with this status; the rate changes automatically through the employee status.
Applies to Employee
Here you can enter an employee for whom the rate should apply. If you leave the field blank and do not restrict the rate to a specific employee status, the rate applies to all employees of the firm.
Valid From / To
Here you can limit the validity to a specific period.
Amount
Here you must enter the amount of the rate.
Percentage of Service Category
Instead of a fixed amount, you can set a percentage of the service category.
For example, you can specify that for all employees who record time with the service category travel and travel time, 50% of the file activity service category is calculated as the hourly rate.
