Basics

You can organize files hierarchically in Lexolution. This hierarchy allows you to easily represent the structure of

  • Consultant Contract File (Collection File / Main File)
  • Project File (Subfile / Subordinate File)
  • Subproject File A
  • Subproject File B

as well as flexible billing.

Mandates that arise over time for a client can be grouped under a Consultant Contract File. Simply create a new Consultant Contract File and then attach the existing mandate files underneath it. The association of the files with the overarching Consultant Contract is visible through the additional hierarchical file number in the Quick Info. The hierarchy indicates which Consultant Contract File the file is subordinate to and at what level it is located.

The file hierarchy also allows you to perform time-efficient billing through the Consultant Contract File using the File > Access Rights function by automating the creation of partial invoices for the collection invoice.

Do not record times and expenses directly to the Consultant Contract File itself.

Edit Hierarchy

To create a hierarchical structure, you need to select a file and assign it using the Add button to the selected file. Only files that are not yet assigned to another file can be included in the hierarchy. If you want to "reassign" a file, you must first remove it from its parent file so that it becomes available again. If the file itself has subfiles, the entire subtree will be "reassigned." You can create as many sublevels as you like.

The selection list offered when adding includes under Client Files all files of the client of a selected file that are not yet subordinate to another file. Another list under All Files offers all other free files through quick search. Find the relevant file and confirm with Select. The selected file, along with its entire subtree, will be attached under the selected file.

You also have the option to directly assign a file to a main file via the Hierarchy / File Ref. tab.

Billing

A file that is part of a hierarchy can be billed through a collection invoice. Once you create a collection invoice for a parent file, you can generate all draft invoices for the subordinate files as hourly invoices.

You can also bill the file separately. To do this, set the invoice type to individual invoice for the subordinate file.
