beA Message including Attachments
The handover of beA messages to LEXolution.DMS can be initiated via the folders Inbox and Sent. To do this, the message must be marked with a checkmark. Multiple messages can also be selected and handed over simultaneously.
Note:
The checkmark must be explicitly set to initiate a handover to LEXolution.DMS.
Clicking on [Handover DMS] opens a dialog window for collector selection, where the collector folder must be selected through which the beA message(s) will be handed over to LEXolution.DMS.
The settings of the selected collector then determine – as with a scanned document – the “run” the beA messages will take in LEXolution.DMS.
Additionally, it can be determined at this point whether the attachments of the beA message should be handed over to LEXolution.DMS as separate files.
Clicking [OK] starts the export.
Within the standard DESK of LEXolution.DMS, the beA message handed over from the beA DESK now appears on the desk in the respective workbook according to the selected collector. The beA message itself and the attachments are handed over as separate documents.
Therefore, it is recommended to create a document list layout specifically for beA messages. This could include the following columns in the specified order:
- Icon
- File extension
- Document source
- Status
- Subject (Mail)
- Title
- Created on
- Sending date (Mail)
- Chronological date
- Sender (Mail)
- Recipient (Mail)
Initially, the *.beamsg files can be filtered using the mini filter in the file extension column.
Using the context menu of the document list > Mail documents > Show Mail / beA Message with Attachments, the beA message along with its associated attachments is displayed.
The indexing of the beA message including attachments can now be carried out as usual via batch processing or multi-indexing.
Note:
The file *.beamsg is the archive of the beA message and contains the message itself, as well as the attachments, the verification protocol, and, if applicable, the sending protocol/receipt confirmation. This can be exported to the file system if needed, renamed to .zip, and unpacked there.
After the handover to LEXolution.DMS has been completed, the messages in the beA Desk are marked with a blue dot.
