Starting Point Word
Open a Word document. In the ribbon, you'll find the Lexolution Add-In. By selecting the New from Template button, you can choose from pre-programmed document templates. Within the document created this way, activate the smart bookmarks by clicking the Update button, which will prompt you for the necessary data through various dialogs. For example, if the template contains the bookmark Recipient Address (from Template), you can select the file and, depending on the file selection, choose the parties involved, with the client always pre-selected.
File Selection Dialog
In this dialog, you select the file. The correspondence language set there is displayed and used to fill the bookmarks with data from Lexolution. You can change the correspondence language if needed.
Location Selection Dialog
In this dialog, you select the location. Here, you can decide whether the logos stored at the location should not be printed.
Party Selection Dialog
In this dialog, you select a party from the file for the correspondence address. If a contact person is stored, they and their address can be optionally selected.
File Responsible Dialog
In this dialog, you select the file responsible parties to use their data in the bookmarks. You can choose between attorney and secretariat.
File Responsible (Second Signer) Dialog
If a second signer is needed, select them here.
Rubrum Defendant Side Dialog
In this dialog, you select the parties with the role of defendant for the chosen file.
Rubrum Plaintiff Side Dialog
In this dialog, you select the parties with the role of plaintiff for the chosen file.
Rubrum Opposing Attorney Dialog
In this dialog, you select the parties with the role of opposing attorney for the chosen file.
Saving the Newly Created Document
Depending on the document storage used, saving follows different procedures.
If the file system is configured for document storage, the Save to File function is available for the first save of the new document to store it in the file document location.
If a document management system is configured for document storage, please follow the documented instructions for document storage there.
Starting Point Lexolution
You can easily create invoices, credit notes, dunning letters, and file covers in Lexolution using the Create and Open buttons. The system templates stored in the configuration are used. For example, when creating an invoice, the standard templates for the letterhead and invoice type are pre-selected and just need to be confirmed. It is recommended to manage the templates centrally and define standard templates to ensure a standardized appearance of your firm externally.
System templates can be assigned to a location and a language. When opening the template selection dialog, the corresponding template is pre-selected, so you don't have to search for long.
You can choose to create a cover letter in the template selection. The cover letter will then be printed along with the invoice document.
To use the cover letter function, you must activate the advanced document generation and store a system template with the Template Type Cover Letter.
There is an option to generate invoice documents (only completed invoices) as PDFs instead of Word files. This has the advantage that the invoice document in PDF format can no longer be manually altered. This functionality cannot be activated directly in the Lexolution settings.
