MCS Selection

Overview

MCS Selection can be accessed via buttons in the Organizations, People, and Authorities views. It allows you to access contacts available in Lexolution.KMS and export them to Excel for creating mail merges.

The interface is divided into three sections. On the left side, you use the Load Filters to select contacts and start retrieving data. In the workspace, the Object List displays the loaded contacts. For the selected contact, you can see detailed addresses and communication data. With the Ribbon, you can activate and deactivate selections through mass operations. By pressing the Excel Export button, all activated data is exported to Excel.

Load Filters

File Involvement Type

This filter accesses the file involvement of contacts. If you have contacts in the system that are not involved in files, you can exclude them directly by checking "load only file-involved." You can further narrow down the group of file-involved contacts by using the only option to load specific types of involvement. The year filter on files offers another way to narrow down, referring to the file's creation date.

File Responsibility

The File Responsibility filter accesses the responsible parties for files. With this filter, you can filter contacts by specific responsible parties with a certain type of responsibility.

Contact Responsibility

The Contact Responsibility filter accesses the responsible parties for contacts. With this filter, you can filter contacts by specific responsible parties with a certain type of responsibility.

Legal Areas

The Legal Areas filter accesses the legal areas associated with the files.

Contact Category

This filter accesses categories stored for organizations, people, or authorities. You can also load contact representatives for this selection.

Properties

This filter accesses properties stored for organizations, people, authorities, and contact representatives.

Industry

In the Industry section, you can select multiple industries. Multiple industries are linked with "or." The industry information is maintained for a contact.

Contact Properties

In the Contact Properties section, you select the contact types: organizations, people, authorities, and contact representatives. Contact representatives are contacts stored in the representation relationship. If people and contact representatives are loaded, you will receive these contacts multiple times as both person and contact representative. With the Only with Email option, only contacts with a filled email address in the communication data are filtered. The filters work additively.

Load Button

Retrieves data considering the filter settings and displays the result in the workspace. Above the button, the number of loaded contacts is displayed. The filters in each section work additively.

After loading, all contacts are marked in the Selection column. For addresses and communication data, exactly one data object per contact is marked in the Selection column in the following priority.

  • Assigned data object of the representation relationship
  • vCard of the contact representative
  • vCard of the contact
Workspace

In the workspace, the Object List displays the loaded contacts. You can edit the value in the Selection column. If Selection is set to active, the contact will be output when executing the Excel Export function. The Type column shows the origin of the contact. Possible values are person, organization, authority, or contact representative. The name is displayed in the order of title, first name, last name.

In Detail, the addresses and communication data for the selected contact are displayed. You can edit the value in the Selection column. If Selection is set to active, the contact will be output when executing the Excel Export function. If the value in the From Representative column is active for contact representatives, the addresses or communication data of the contact representative or the correspondence stored in the representation relationship will be displayed.

In the object lists, columns can be sorted and grouped.

Ribbon

In the ribbon, you can activate or deactivate the Selection value in the loaded object list, addresses, and communication data through mass operations. Even data objects not displayed in detail are processed. With each selection action, you activate the selection for additional contacts, addresses, or communication data.

Reset Selection

For all objects in the workspace, the Selection column is set to inactive.

Selection via Property Lists

You can activate the Selection column for certain contact types in connection with a property list. By pressing the Select button, the selection process is started.

Select Representation Type

You can select a specific representation type and execute the selection process by pressing the Select Representation Type button.

Select Contact Category

You can select a specific contact category and execute the selection process by pressing the Select Contact Category button.

Reset Address Selection

For all objects in the workspace, the address selection in the Selection column is set to inactive.

Select vCard Addresses

For all vCard addresses, the address selection in the Selection column is set to active.

Select Address Types

You can select a specific address type and execute the selection process by pressing the Select button.

Reset Communication Selection

For all objects in the workspace, the communication selection in the Selection column is set to inactive.

Select vCard Communication

For all vCard communication data, the value in the Selection column is set to active.

Select Communication Types

You can select a specific communication type and execute the selection process by pressing the Select button.

Excel Export

With the Excel Export button, you export the data object with activated selection to Excel. After a successful export, a message is displayed.

Settings

File Tab - Excel Export

During export, a column is added at the end of the Excel list for each of the selected responsibility types. This allows you to filter the values directly in the Excel list.
