Firm-Specific Reports

If you request the creation of a custom report for your firm, the report will be imported and displayed under this navigation point.

Standard Reports

In Lexolution, the reports shown in the table are available for you to evaluate your firm's key figures. The evaluation database is automatically updated every night. You can also manually update the database if needed by clicking the Update Evaluation DB button. However, this may take some time. The status of the evaluation database update, including the date and time, is displayed in the header of the report list.

A separate program allows for the automatic generation of the evaluation database at multiple times throughout the day. If you are interested in this tool, please contact STP AG's service team.

In both views, it is possible to enter a different name for the reports in the Firm Name column. These alternate names are only displayed in the report list and not in the opened reports.

Note

The description texts of the times recorded for locked files are displayed without restriction for all users in the standard reports (e.g., No. 1204 Time Evaluation with File Reference). It is recommended to ensure through internal firm guidelines that no sensitive information is stored in the description texts in such cases.

Lexolution Report Viewer

By clicking the Create button or double-clicking, the KMS Report Viewer opens. In the KMS Report Viewer, you can narrow down the evaluation results by setting filters, such as by location and employee.
The KMS Report Viewer allows you to display, print, and save a document in various formats. If you have linked Lexolution with Lexolution.DMS, you can save reports directly into a DMS file using the Save to Lexolution.DMS button.
The Currency is displayed at the top of the reports, indicating the currency to which all report values refer. You can open multiple reports simultaneously to, for example, directly compare data.

1010 File Account Balances 1. Purpose: The firm can get an overview of, for example, the outstanding fee claims or expense claims of the files at a location and/or an HVRA 2. What the report shows: Balance of the file accounts at the time of update. The totals are displayed per HV location, per HVRA, and overall 3. Filter options a. 1020 Third-Party Funds 1. Purpose: The firm can evaluate the amounts of third-party funds at their locations per HVRA and files 2. What the report shows: Only files with third-party funds not equal to 0, based on the file account balance list. The totals are displayed per HVRA, per HV location, and overall. 3. Filter options a. Location: Refers to the HV location of the file 4. Grouping by: Location and HVRA 5. Special features: Note: Third-party fund payments are not allowed as free bookings (i.e., the account cannot be booked directly), third-party fund payments are always file-related
1030 Tax-Free Expenses 1. Purpose: The firm can evaluate which files have tax-free expenses paid (client to firm or firm to court, etc.) and are not yet settled (by client payment or forwarding to court) 2. What the report shows: Only files where tax-free expenses are not equal to 0, based on the file account balance list. The totals are displayed per HVRA, per HV location, and overall. 3. Filter options a. Location: Refers to the HV location of the file 4. Grouping by: HV location and HVRA 5. Special features: only payment flows on tax-free expenses are relevant; the column "tax-free expenses" is evaluated, recording tax-free expenses to the file and invoicing is not sufficient
1031 Tax-Free Expenses Write-Off 1. Purpose: only files where the difference between tax-free expenses and tax-free expense write-off results in a value greater than 0. The resulting balance represents the amount of potentially write-off tax-free expense. 2. What the report shows: Only files where tax-free expenses show a negative balance, based on the file account balance list 3. Filter options a. Location: Refers to the location of the file b. Employee: Refers to the HVRA of the file c. with 'archived' files: Can be selected to also display closed files 4. Grouping by: HV location and HVRA
1040 Fee Balance List 1. Purpose: The firm can get an overview of the fee balance of the files at a location or HVRA 2. What the report shows: All files where the fee balance is not equal to 0. The totals are displayed per HVRA, per HV location, and overall, based on the file account 3. Filter options a. Location: Refers to the location of the file b. Employee: Refers to HVRA c. with 'archived' files: Can be selected to also display closed files 4. Grouping by: Location and employee
1100 Open Items 1. Purpose: The firm can get an overview of the open items (debtors). 2. What the report shows: all open items (invoices) not equal to 0 (invoices not settled or overpaid). It displays the totals for the main office location, invoice HVRA, and overall, based on open item debtors. 3. Filter options a. Location: Refers to the main office location of the invoice b. Show only open items (Default): Determines whether items that are no longer open are displayed c. Do not show partial invoices (Default): By unchecking, partial invoices of a collective invoice can be displayed; Note: this leads to double counting of the invoice amount, as the partial invoices are now included in the total 4. Grouping by: Main office location and invoice HVRA, 5. Special features: individual invoices are displayed, sorted by invoice date and invoice number
1101 Open Items Grouped by File 1. Purpose: The firm can get an overview of the open items (debtors). 2. What the report shows: all open items (invoices) not equal to 0 (invoices not settled or overpaid). It displays the totals for the main office location, invoice HVRA, file, and overall, based on open item debtors. 3. Filter options a. Location: Refers to the main office location of the invoice b. 1102 Outgoing Invoices with Tax Details 1. Purpose: The firm can get an overview of the open items (debtors). 2. What the report shows: all invoices, based on open item debtors. 3. Filter options a. Location: Refers to the location of the invoice c. Date from: Refers to the date of the invoice and is used as the start of the data. d. Date to: Refers to the date of the invoice and is used as the end of the data. e. Active booking period: Activates the booking period filter f. Booking period from: Refers to the booking period of the invoices and is used as the start of the data g. 1103 Open Items by HVRA 1. Purpose: The firm can quickly get an overview of all open items. 2. What the report shows: It displays all open item debtors (invoices) not equal to 0 (invoice not settled and not overpaid) 3. Filter options: Location, HVRA, clients, file numbers a. Main office location of the file: Refers to the main responsible location of the file 4. Grouping by: Location, HVRA
1110 WIP/Unfinished Services by Employee 1. Purpose: You can see which employee should bill their time 2. What the report shows: completed times and expenses of an employee that are still not billed (Def.: not included in a draft invoice or a completed invoice). 3. Filter options a. Location: Refers to the location of the employee from the time or expense b. Employee: Refers to the employee of the time or expense c. Date from: Refers to the date of the time or expense and is used as the start of the data. d. Date to: Refers to the date of the time or expense and is used as the end of the data. 4. Grouping by: Location, employee, and file 5. Special features: shows under "recorded hours" the originally performed/recorded hours (duration), but the fee is calculated based on the scheduled hours (billable hours)
1111 WIP/Unfinished Services by Employee Grouped by Age 1. Purpose: You can see how old in weeks the employees' times are. 2. What the report shows: completed times and expenses of an employee that are still not billed (Def.: not included in a draft invoice or a completed invoice). 3. Filter options a. Location: Refers to the location of the employee from the time or expense b. Employee: Refers to the employee of the time or expense c. Date from: Refers to the date of the time or expense and is used as the start of the data. d. Date to: Refers to the date of the time or expense and is used as the end of the data. 4. Grouping by: Location, employee, age, and file 5. Special features: shows under "recorded hours" the originally performed/recorded hours (duration), but the fee is calculated based on the scheduled hours (billable hours); The age of the time or expense in weeks is calculated based on the time span from the date to today
1112 WIP/Unfinished Services of Files by Main Responsible Employee 1. Purpose: You can see how old in weeks the employees' times are. 2. 1113 WIP/Unfinished Services of Files Grouped by Location with File Categories 1. Purpose: The HVRA can see which files under their responsibility have times to be billed 2. What the Report Shows: completed times and expenses of a file that are still not billed (Def.: not included in a draft invoice or a completed invoice). 3. Filter Options a. What the Report Shows: completed times and expenses of a file that are not yet billed and are in a draft invoice or a completed invoice. 3. Filter Options a. Location of the HV Employee: Refers to the location of the HVRA b. HV Employee of the File: HVRA of the file c. Date from: d. Date to: Refers to the date of the unfinished services and is used as the end of the data. 4. Grouping by: Location of the HVRA, HVRA of the file 5. What the Report Shows: All expenses and completed hours that are not yet linked to a completed invoice are displayed. 3. Filter Options: by Location, HVRA, Employee, File Number, Participant, WIP Metric (Hours or Fee), Restriction to Active Files (Potential, In Progress) 4. Grouping by: Location, HVRA, File, Employee 5. Special Features: Hide details, then only the totals of the files and the totals of the HVRA are displayed
1200 Late Times 1. Purpose: The report aims to uncover cases where recorded times are not billed immediately. 2. What the Report Shows: All activities where more than 6 days lie between the date of the activity and the creation date in Lexolution 3. Filter Options a. 1201 Recorded Times 1. Purpose: To give an employee an overview of their already recorded times. 2. 1204 Time Evaluation with File Reference 1. Purpose: An overview of the times recorded for a specific period by an HVRA or employee for a file, showing the fees. Multiple employee selection is possible. 2. What the Report Shows: All open and completed times are considered. It displays the originally recorded hours, the scheduled hours, the hourly rate, and the calculated fee. A total is calculated per employee and per file. It is grouped by employee. 3. Filter Options: HVRA, Employee, AZ, File Name, Mandate Subject, Participant, Period, File Hierarchy, Detailed Evaluation, Office Rounding, File Rounding, Invoiced, Draft, Not Billed

Location: Refers to the employee's location. b. Employee: Refers to the employee of the follow-up. c. Date Until: Refers to the date of the follow-up. 4. Grouping by: Location, Employee 5. Special Features: Filters all follow-ups up to a date using 'Date Until'.
1302 Follow-ups with Time Restriction From Until 1. Purpose: Provides an overview of the firm's follow-ups. 2. What the Report Shows: Uncompleted follow-ups. 3. Filter Options: a. Location: Refers to the employee's location. b. Employee: Refers to the employee of the follow-up. c. Date Until: Refers to the date of the follow-up. d. Date Until: Refers to the date of the follow-up. e. Ignore Date From: 'Date From' is not considered. 4. Grouping by: Location, Employee 5. 1400 Dunning List 1. Purpose: Provides an overview of the dunning process. 2. What the Report Shows: Files with outstanding amounts not yet paid, all with a review date up to today. 3. Filter Options: a. Location: Location of the employee/invoice. b. Employee: Employee of the invoice (of the outstanding amount). 4. Grouping by: Location and Employee
1500 Closed Files 1. Purpose: Overview of all closed files with filing date and filing number. 2. What the Report Shows: Closed files grouped by HV location and HVRA. 3. Filter Options: a. HV Location of the File: Refers to the HV location of the file. b. HV Employee of the File: Refers to the HVRA of the file. c. Date From: Refers to the filing date (previously: mandate completion date). d. Date Until: Refers to the filing date (previously: mandate completion date). e. All Closed Files: Shows all closed files without considering the period filter. 4. Grouping by: HV Location of the File and HV RA of the File
1501 Files with Increased Liability Risk 1. Purpose: Provides an overview of the firm's files with increased liability risk. 2. What the Report Shows: All files with an increased liability risk. 3. Filter Options: a. HV Location of the File: Refers to the main responsible location of the file. 4. Grouping by: HV Location of the File
1600 Revenue by Contact (Displayed by Document Date) 1. Purpose: The firm can see how much revenue certain contacts generate. 2. What the Report Shows: Revenue of a contact per year. 3. Filter Options: a. Contact Number or Contact Name: Refers to the contact number if it's a unique number or refers to the contact name if it's a number or a name. 4. Grouping by: Contact Name and Year
1601 Revenue by Contact (Displayed by Booking Period) 1. Purpose: The firm can see how much revenue certain contacts generate. 2. What the Report Shows: Revenue of a contact per fiscal year (displayed by booking period). 3. Filter Options: a. Contact Number or Contact Name: Refers to the contact number if it's a unique number or refers to the contact name if it's a number or a name. 4. Grouping by: Contact Name and Fiscal Year
1700 Deadlines 1. Purpose: Display of deadlines. 2. What the Report Shows: Shows the recorded deadlines. 3. Filter Options: a. Date From: Refers to the pre-deadline1, pre-deadline2, or final deadline. b. Date Until: Refers to the pre-deadline1, pre-deadline2, or final deadline. c. Show with Pre-deadlines: If active, deadlines with unseen pre-deadlines 1 or 2 for the filtered date are also shown; if inactive, only deadlines with uncompleted final deadlines in the filtered period are shown. d. 1800 Individual Appointment Printout 1. Purpose: Appointment slips for printing and taking to court dates or general client meetings. Displays key appointment information and allows for handwritten notes and instructions. 2. What the report shows: One appointment per page.
