You can connect appointments, deadlines, and follow-up reminders that you manage in LEXolution to your Exchange environment, making them available in MS Outlook and on your mobile devices. LEXolution contacts and MS Outlook tasks and contacts are not included in the integration.
The following requirements must be met before the connection can be established:
For the Exchange integration, you need an Exchange Server version 2010 or later (On-Premise Exchange) or an MS Office 365 Exchange Server (Exchange Online).
In the server configuration, you must enable the Exchange integration for appointments and/or deadlines and/or follow-up reminders at the firm-wide level.
Additionally, connecting to an Exchange Online server requires separate settings, which you can find in the installation guide.
With Exchange Online, changes to appointments made in the Exchange Server are generally not retrieved by LEXolution. With the On-Premise version, this is possible, but can be disabled via a setting.
If you want to prevent appointments, deadlines, and follow-up reminders from being synchronized with Exchange for individual staff members, either leave the Exchange email address out of that staff member's communication record, or do not mark the communication record as a VCard.
Staff members in LEXolution can only be matched to participants in MS Outlook if the email address stored for the staff member in LEXolution matches their Exchange email address and that communication record is marked as a VCard.
Due to functional and technical constraints — some of which are caused by Microsoft — the Exchange integration has certain limitations. We would like to point out a few of these:
For appointments involving multiple staff members or participants, MS Outlook always requires an organizer. Since LEXolution does not designate an organizer, you should first save the appointment in LEXolution with only the staff member who is to become the organizer on the MS Outlook side. You can then add additional staff members afterward.
If you add a case file to appointments, deadlines, or follow-up reminders in LEXolution, the case file name will not be transferred to MS Outlook. If you need this information, enter the case file name in the subject line (for appointments) or in the notes field (for deadlines and follow-up reminders).
The same applies to the external file reference and the case file participants for deadlines and follow-up reminders.
LEXolution only supports the management of individual appointments. Therefore, you must ensure that any recurring appointments in MS Outlook are manually recreated in LEXolution if needed there.
File attachments in an MS Outlook appointment are not synchronized to LEXolution. If you want a reference to the files in LEXolution, add a note in the description field of the MS Outlook appointment.
Meetings canceled in MS Outlook are not automatically deleted in LEXolution. Always make sure to delete the appointment in LEXolution as well.
Confirmed meeting requests from external contacts in MS Outlook are not synchronized to LEXolution.
Initial Import
The timeframe for the initial synchronization is set to 2 weeks in the past.
There is no time limit for future entries.
Private Appointments
You have the option to transfer private Outlook appointments to LEXolution. For private Outlook appointments, only the date, time, staff member, and appointment type "Outlook Private" are imported into LEXolution. Private Outlook appointments cannot be edited in LEXolution.
