Transfer to LEXolution.DMS

Overview

The beA Desk allows you to send messages directly to LEXolution.DMS for archiving and further processing.

Purpose

Sending messages to LEXolution.DMS is intended to:

• Archive messages and documents
  
• Store communications centrally
  
• Enable further processing in the DMS

Procedure

1. Open a folder, such as Inbox or Sent
   
2. Select one or more messages using the checkbox
   
3. Click on “Send to DMS”
   
4. Select a collector
   
5. Confirm with OK

Note
You can send multiple messages at once.

Behavior

• Messages are sent along with their attachments
  
• Processing is handled by the selected collector
  
• Messages remain available in beA Desk

After Sending

• Messages are available in LEXolution.DMS
  
• Attachments are saved as separate documents
  
• Further processing takes place within the DMS
  
• The beA message appears in the relevant workspace based on the selected collector

Visual Indicator

After successful transfer, messages in beA Desk are marked with a blue dot.

Display in LEXolution.DMS

For efficient handling of beA messages, it is recommended to set up a custom document list layout with the following columns:

• Icon
  
• File extension
  
• Document source
  
• Status
  
• Subject (Email)
  
• Title
  
• Created on
  
• Sent date (Email)
  
• Chronological date
  
• Sender (Email)
  
• Recipient (Email)

.beamsg files can be filtered using the “File extension” column.

Viewing Messages

Via the context menu in the document list:

• Email Documents → Show Email / beA Message with Attachments

The following will be displayed:

• The beA message
  
• All related attachments

.beamsg File

• The .beamsg file is the archive of the beA message
  
• It contains:
  • Message content
    
  • Attachments
    
  • Verification log
    
  • Optional delivery log / acknowledgment of receipt

The file can be exported if needed, renamed to .zip, and extracted.

Further Processing

After sending to LEXolution.DMS:

• Indexing is performed as usual
  
• Supported methods:
  • Batch processing
    
  • Multiple indexing
