Messages (Creating & Sending)

Overview

The beA Desk allows you to receive, create, send, and manage beA messages.

Messages are organized into folders and can be edited directly within the application.

Inbox

The Inbox contains all received messages.

Unread messages are marked with a blue bar on the left side. The number displayed in the folder shows the count of unread messages.

You can right-click a message you've already read to mark it as unread again.

eEB Display

If a message contains an electronic acknowledgment of receipt (eEB), this is shown in the eEB column:

  • Open envelope → Message contains an eEB
  • Closed envelope → Draft for eEB response available
  • Blue checkmark → eEB has been sent
  • Green label → eEB response has been received

A response can be created using the [Reply to eEB] button.

Note
eEB responses are sent as separate messages and follow the same sending process.

Drafts

The Drafts folder contains all created message drafts.

Drafts can be opened and edited by double-clicking them.

Columns

  • Recipient
  • Recipient reference
  • Sender reference
  • Creation date

Signature Status

  • Gray text → at least one document is not signed
  • Green checkmark → all documents are signed

Validation

The Validation column shows whether a message is technically ready to be sent.

Note
Validation does not prevent sending. Messages can be sent even if validation is incomplete.

Outbox

The Outbox contains messages that are currently being sent.

After sending:

  • a message ID is assigned by the BRAK server
  • the message is moved to the "Sent" folder after successful delivery

Note
Do not close the beA Desk until the message ID is displayed.

Sending Errors

Messages that could not be sent are located in the Sending Errors folder.

  • Errors can be viewed via the warning icon
  • Messages can be moved to drafts for correction and resent

Sent

The Sent folder contains successfully sent messages.

  • Messages can be transferred to LEXolution.DMS
  • Transferred messages are marked with a blue dot

Note
Only messages created in beA Desk are shown here. Messages from the beA Web Client are not synchronized.

Trash

Deleted messages are moved to the Trash folder.

Messages can be:

  • permanently deleted
  • restored to their original folder

Note
Messages are stored indefinitely. Regular cleanup is recommended to ensure performance.
