After you have successfully completed the onboarding and connected your Advoware system to the Case Knowledge, you can start working with the Legal Twin® - Case Knowledge.
You can find the Case Knowledge in Advoware in the “Files” menu item in the program taskbar, to access the chat activate the taskbar where you find it on the bottom.
If you have selected a matter in Advoware the Case Knowledge will automatically be opened in this matter. The Legal Twin Chat is always in the context of the in Advoware selected case.
Case view and matter header
Open the Case Knowledge and - if this has not already been done - choose a matter.
In the case view, you can see all matter data synchronised from Advoware: the documents, participants and events as appointments or deadlines.
The matter header - marked blue in the screenshot - is expandable and provides some more data from the Advoware matter. You can also find the buttons for analysis and analysis history there. Find more information about these later.
If a case was already analysed, you also get some more data about the analysis - the amount of pages that were analysed as well as the date and time of the analysis.
Analysing a case
The first step is always to start an analysis: open the analysis modal and select the documents you want to analyse. You can find the analysis modal in the top right corner next to the matter name.
In the analysis modal all documents of a case are automatically pre-selected for analysis - if you want to analyse only individual documents, you can select them using the checkboxes next to the documents. If a case was already analysed before you can also filter for already and not yet analysed documents.
Currently the following document types can be analysed: - PDF - DOC, DOCX - PNG - JPEG - TIFF - XLSX - PPTX
Please save your emails as pdf in the Advoware Aktengeschichte to get them analysed.
As soon as a document hs already been analysed it will always be part of following analyses. As long as there were no changes made in the document since the last analysis, we will reuse the previous analysis and not analyse the document again. The pages of that document will not be deducted from your page quota again when the file is analysed a second time.
To start the analysis click the “Analysieren” button. As soon as the analysis modal closes, analysis is started.
During an analysis you can switch to another matter in Case Knowledge or as well close the Legal Twin®.
Analysis History
Next to the analysis button you find the analysis history.
In this modal you can check previous and current ongoing processings, see error messages and get some more data on a processing.
This modal may not be very important to you as a user in your day-to-day work, but it provides us with valuable additional information when errors occur.
You can see whether an analysis was successful, partially successful or failed.
If errors occurred, you will see the corresponding error message(s) and which documents are affected.
In addition, you will find a Support ID for each analysis, which you can copy using the “Copy” button. Please provide this to the support team if you need assistance with an analysis.
Analysis Results
After the analysis is completed, the data extracted by the AI in combination with the data available in Advoware is displayed in the case view.
You can navigate in the menu on the left side between summary, participants, timeline and documents.
On all pages you can recognize data extracted and provided by the AI by the sparkle icon.
When a matter could not be analysed correctly, we’ll inform you directly in the case view. For more information please check the analysis history modal.
