Amberlo - beA - Set up a channel

With the ComCenter integration you use your beA mailbox directly inside Amberlo. This article covers the first part: connecting a beA mailbox as a channel and getting to know the channel messages view with its folders.

Everything that is specific to beA itself — software token, SAFE-ID, mailbox permissions, eEB, Prüfprotokoll, archiving — is described in the beA article and applies unchanged.

Note: The screenshots show the German user interface. The English labels are given in brackets.

Requirements

Open the channel management

  1. Click your avatar in the top-right corner and select Einstellungen (Settings).

  2. In the settings menu, under Drittsoftware (Third-party software), click Kanalverwaltung (Channel management).

The Kanalmanagement overview lists the channels with Name, Typ (type), Adresse (address – for beA this is the SAFE-ID) and Status. Each row has an edit (pencil) and a delete (bin) action, and the list can be filtered with the search field above the table.

Note: beA channels are stored per user. You only see the channels you created yourself; a colleague who needs the same mailbox creates their own channel with their own software token.

Create a beA channel

  1. Click Kanal hinzufügen (Add channel).

  2. Under Typ, select beA. The available types depend on the packages licensed for your tenant.

  3. Enter a Name. It is shown in the channel tree and when sending or receiving messages.

  4. Enter the SAFE-ID of the mailbox.

  5. Under Referenzen (Credentials), upload the Zertifikat (software token). Only .p12 files with a maximum size of 6 KB are accepted.

  6. Enter the PIN associated with the certificate. The eye icon shows what you typed.

  7. Click Speichern (Save).

Amberlo tests the connection to the beA server. If SAFE-ID, certificate and PIN are valid, the channel appears in the overview with status Vollständig (Complete) and is available in the channel messages view. For the meaning of the other statuses see beA – Channel status.

Edit or delete a channel

Click the pencil icon in the channel row to open Kanal bearbeiten (Edit channel). The type is fixed; name, SAFE-ID, certificate and PIN can be changed. Click Aktualisierung (Update) to save or Abbrechen (Cancel) to discard.

Click the bin icon to delete a channel. It disappears from the channel messages view; the mailbox itself is not affected.

Open your beA mailboxes via Kanalnachrichten (Channel messages) — the tray icon in the top navigation bar.

Select a folder in the tree on the left to see its messages:

The view has four areas:

  • Channel tree (left): one node per channel, named <channel name> (beA), each with the folders Posteingang (Inbox), Gesendet (Sent) and Entwürfe (Drafts). Other channel types you have set up (E-Mail, KSeF) appear in the same tree.
  • Message list: the messages of the selected folder with sender, subject, date and a status badge. Suchen… searches within the folder; the chips above the list filter by handling status (Alle, Ungelesen, Sekretariat, Anwalt, Bearbeitet — see Process an incoming message).
  • Message details (centre): header data, attachments with inline preview, and the message actions.
  • Amberlo panel (right, for incoming messages): matter, deadlines, tasks, stamps and handling status.

The toolbar at the top offers Sync now, which fetches new messages from the beA server for the selected channel, and Nachricht erstellen (Create message).

Nachricht erstellen (Create message) in the toolbar opens the compose form for a message that is not started from a matter. The normal way to write a message is from the matter, see Send a message from a matter.

Folders and sub-folders

Every beA channel has the root folders Posteingang, Gesendet and Entwürfe. Under Posteingang you can create your own sub-folders:

  1. Hover over Posteingang and click the ⋮ menu.
  2. Click Unterordner erstellen (Create sub-folder) and enter a name.

Sub-folders are shown indented below the root folder; the chevron next to the folder name expands or collapses them.

Folders and message

The sub-folder Archiv is created automatically: a message that has been marked as Bearbeitet (processed) and closed with Done is moved there (see Process an incoming message). Sub-folders created in the beA web portal (for example eEB, Junk) are shown as well. For the rules that apply to root and custom folders see beA – Folders in beA.

Move a message

Open a message and click Verschieben (Move). The dialog Nachricht Verschieben Nach: shows the folder tree of the channel; click the target folder.
